POSITION UPGRADE
Position upgrades:
We have several current options available to pay employees for salary adjustments. We usually discuss these with the employees to determine which method is best for the employee. Examples: If it is an upgrade or downgrade we can even the adjustment out of their remaining checks for the school year. Or we give them the new 1/12 or 1/13 of their new salary for the remainder of the school year and make the final adjustments in their 3 summer checks. Or we can give them a larger/smaller 1st check after the adjustment and the final adjustments in their 3 summer checks. If an employee goes on long-term leave, we currently stop their pay until the summer months at which time our system is set up to pay them the balance of any pay they are due for the school year in their 3 summer paychecks. We need to know if we will have to eliminate all the options we give the employee.
There are two parts to this question.
In the situation of salary adjustments, we would like to have them reported with the appropriate payment reason the first month that the salary and contributions are changed. When you report this information it flags our system as a reason for the increase/decrease reducing research time and additional questions.
If a member goes out on long-term leave without pay, report that employee with a payment reason of “04”, leave without pay, and set the service credit flag to N. The prorated summer pay would be reported as prorated summer pay and would not earn service credit.
The employee’s salary and contributions should be reported correctly to TRS. Reporting the salary correctly is important when the salary is used in the member’s high salary calculation.
